Practices

Practices will follow the schedule of the Kingsport City School system. If Kingsport City schools are cancelled or closed early due to inclement weather, practices for that day will be cancelled.

Tournaments

Since dates must be scheduled and venues must be reserved months ahead of time, tournaments are rarely cancelled due to bad weather. Because facility rentals and officiating expenses must be paid, tournament entry fees are typically non-refundable, even if weather prevents a team from attending a scheduled tournament.

In an effort to keep participation fees as low as possible, KVC has not budgeted for tournaments that are missed due to bad weather. Unfortunately, this means that if a KVC team must miss a tournament date, KVC cannot guarantee that the affected team can schedule additional tournament dates at no cost to the team. Therefore, if a make-up tournament is scheduled, parents of the affected team may have to pay for the additional tournament out of pocket.

KVC will attempt to recover tournament entry fees, or partial entry fees, but these attempts have not been successful in the past.

In the event that a team cannot travel to a tournament due to weather, KVC will cover the cost of lost hotel expenses for the coach. KVC cannot cover the cost of any lost hotel expenses for parents and players.

Decision to travel

The decision to travel during bad weather must be made by each family and the coach of the traveling team. The KVC board of directors may be consulted, but the decision is ultimately up to the traveling team
